FIGS is looking for an Office Manager to create the policies and coordinate the logistics that make FIGS a productive and welcoming place to work. As the Office Manager, you will manage company-wide events, communications and vendors, and partner cross-functionally to deliver results. The ideal candidate is known for their people skills, can manage multiple projects at a time, has an eye for detail and enjoys planning and executing events. FIGS is growing quickly, and you will be central to this growth.
What you’ll do:
- Coordinating logistics, including ordering furniture, designing seating plans, and determining best usage for our space
- Working cross-functionally to fulfill facilities and operations requests
- Managing external vendors (office supplies, food and beverage, swag) and deliveries
- Planning and executing company events, including all-hands, happy hours, parties, offsites, and celebrations
- Owning company-wide communications, including weekly announcements, facilities updates.
- Coordinating FIGS office move: We’re moving to a bigger, more awesome office space and need someone to help lead the charge!
- Receiving visitors by greeting and directing them appropriately. Making sure they check in on our Envoy system and ensuring company personnel is aware of the visitor arrivals
- Maintaining common spaces, designing, and stocking conference rooms, lounges, and our cafe and kitchen
- Partnering with Recruiting and HR to manage candidate needs and employee onboarding and offboarding
- Serving as the point of contact between FIGS and building management
- Providing administrative assistance as needed, including arranging travel and accommodations for employees
Qualifications:
- 2+ years of experience in office management or working in a fast-paced startup environment
- A love for office culture, with a passion for events and team-building
- Excellent attention to detail, with strong organizational and multitasking skills
- A demonstrated ability to work independently and plan ahead to anticipate needs
- A focus on interpersonal relationships
- A desire to help scale our strong company culture, core values and work environment
- Comfort working in Slack and Google Suite
- Strong written and verbal communication
