In this role, you'll be responsible for managing the day-to-day Edinburgh office operations, events planning, supporting our EMEA Sales, Marketing and Engineering leaders/team and handling special projects. What youll do:
- Manage the daily needs of the office, including ordering supplies, inventory management, greeting visitors, managing mail/deliveries.
- Heavy calendar management for Sales and Engineering executives, assuming full ownership of scheduling, confirming, and negotiating for meeting space and relevant attendees.
- Manage travel and accommodation arrangements.
- Plan and execute off site large-scale company meetings, team meetings, and internal culture events.
- Keep the office organized and running smoothly in order to promote an effective work environment. Proactively maintain the appearance and tidiness of the office.
- Support multiple teams and manage various tasks/projects. Be adaptable to any situation that arises.
- Support a variety of critical business functions including financial, procurement, vendor management, contract management, and general office services; find innovative ways to streamline and enhance service delivery, while keeping an eye on the bottom line.
- Coordinate with U.S. Headquarters Sales Operations and Sales Enablement teams to ensure smooth communications and data dissemination.
- Drive best practices by innovating, documenting, and improving work methods. Be proactive and communicate ideas for office/space improvement with necessary teams.
- Set up and coordinate meetings, including communication, agendas, securing conference rooms, proper IT set-up, etc.
Requirements
- 2+ years of office management experience, in a high growth, startup environment, including executive support
- Ability to handle multiple requests, work in a fast-paced environment and be responsive to requests/service issues
- Must be a go-getter with high energy to keep up with the demands of a growing office
- Ability to think outside the box and bring creative, non-standard and innovative solutions to the table; Ability to meet or exceed deadlines and make sound decisions, sometimes under stress
- Excellent problem solver and critical thinker. You enjoy figuring out any challenge that comes up relating to the office and its employees.
- Highly proficient in the use of common business software programs; especially Google applications
- Excellent written, verbal and interpersonal communication skills
- Strong prioritization and organization skills with attention to detail. Must have strong project management skills with ability to juggle multiple priorities simultaneously
- Ideal candidate: some background using SFDC, Marketo and other sales and marketing tools.
