Payroll Administrator

Our company is currently experiencing rapid growth and we are seeking an experienced Payroll Administrator to join our accounting and finance team. The Payroll Administrator will be responsible for the payroll process of a company with a high degree of confidentiality. Payroll Administrators work in conjunction with and support an organization’s human resources department. This position processes all payroll related time entry, tax deposits, reports, benefit deductions, W2s and audit document requests. This requires an extremely detail orientated person with significant knowledge of payroll administration, including state and federal regulations. Work is performed under general direction of the Finance Director.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Responsible for the preparation and processing of biweekly payroll for over 200+ employees
  • Review and ensure accuracy of approved timesheets; track and deduct all garnishments and other special payroll deductions
  • Responsible for the coordination efforts between payroll, human resources, and other departments to ensure proper flow and maintenance of employee data (including preparation/distribution of detailed reports
  • Handle the administration of the electronic timekeeping system (Paychex Flex). Setup each employee, validate programs for each employee's charges, and adherence to FLSA; monitor submissions of approved timesheets, ensure valid data transfers to/from payroll service
  • Establish/maintain employee records; ensure that employee changes are entered correctly and made on a timely basis
  • Review changes for proper authorization (include during open enrollment, terminations, new hires, etc…)
  • Ensure compliance with federal/state/local regulations such as registering in new states
  • Process expense reports weekly for payroll submission
  • Prepares and verifies general ledger import file into accounting system
  • Assist and respond to employee requests or concerns in resolving payroll issues such as PTO
  • Provide training to users to accessing Paychex Flex system
  • Conform with and abide by all regulatory guidance and internal policies & procedures
  • Assist with internal or external audit requests
  • Contribute to department and organization special projects as assigned

QUALIFICATIONS:
  • Strong skills using and understanding the flow of transactions in an integrated and automated payroll accounting system
  • Ability to maintain confidentiality and exercise extreme discretion
  • Excellent problem solving/judgment skills, and high level of attention to detail and accuracy
  • Strong organizational skills, and the ability to work under pressure
  • Must be able to effectively handle multiple projects simultaneously in a deadline driven environment
  • Strong verbal, written communication and interpersonal skills
  • Intermediate to advanced experience with MS Word, MS Excel, and MS Outlook
  • Ability to work independently and as part of a team and take on new tasks with high level of difficulty

EDUCATION/EXPERIENCE:
  • Associate Degree in Business Administration or equivalent preferred. Any combination of education and experience equivalent to graduation from an accredited college with major course work in accounting and considerable experience involving the maintenance of payroll and financial records.
  • Minimum of 4+ years’ experience in payroll office performing all payroll functions.
