Office Manager

Thrive Global is seeking a motivated and organized team member to help us run Office Operations in our newly expanded New York Headquarters Office. The ideal candidate will have the passion, ownership and attention-to-detail to help us run the office in a way that contributes to a productive and thriving company culture and a great employee experience.

HOW YOU’LL CONTRIBUTE
Overall, your job is to implement and oversee an office operations strategy that promotes a well-organized, collaborative and welcoming workplace.  Your day-to-day will be dynamic but here are a few things that we know to be true:

Welcoming Guests
  • Act as front desk greeter
Mail + Deliveries
  • Receive, inventory and distribute incoming mail and packages
Kitchen Pantry + Office Supplies
  • Order and oversee weekly kitchen pantry deliveries and organization 
  • Order office supplies and ensure supplies are fully stocked and organized
Workplace Organization + Upkeep
  • Ensure tidy and organized workspace, conducive to productivity and collaboration and free of any risks or hazards
  • Oversee cleaning crew and maintenance staff relationships and quality of work
  • Manage proactive and reactive repairs and maintenance of office facilities/equipment
  • Serve as primary point of contact for building superintendent and other such stakeholders to ensure we’re getting timely, quality support
  • Manage issues and ideas surfaced by staff regarding the office environment (i.e. temperature control, items that need repair, ideas they’d like us to consider, etc)
Vendor + Expense Management
  • Manage existing vendor relationships and cultivate new ones with an eye towards partnerships that are in line with our brand and terms/rates that make business sense
  • Manage the administrative and office budget and work closely with Finance Department to track and monitor expenses
New Hire Logistics + Employee Celebrations
  • Partner with People Operations on office layout, desk set-up and ensuring desks are set-up for day one
  • Print/order business cards and company stationery
  • Plan and oversee catering for bi-weekly office team lunches, employee birthdays + celebrations and select in-office meetings and events as needed
Other
  • Ad hoc projects such as printing and/or one-off errands as needed
  • Occasional administrative coverage for other teams when someone is away

MUST HAVES
  • Strong communication skills
  • Ability to collaborate well with other teams (IT, Operations, Finance and People)
  • Strong skills with G-Mail, Google Docs and Google Sheets + Slack
