Position Overview:
Our Office Manager/Bookkeeper is an integral part of our team - managing day-to-day accounting, finance, payroll, client billing, events, and other administrative needs. Depending on skills and interest, his/her responsibilities can extend to also include client billable work as a software tester, technical writer or project administration/management (training and mentoring will be provided). Key factors to success in this role is timeliness, attention to detail, persistence in completing tasks, juggling multiple stakeholders, multitasking, and eagerness to learn.
Essential Functions:
- Reconcile invoices, credit card transactions, bills, and other monthly statements in Quickbooks and follow-up on any identified issues that can range from late invoice payments or other discrepancies
- Deposit checks to various bank accounts
- Prepare and run payroll
- Prepare and file state and federal tax statements and reports
- Create and send invoices to all clients
- Maintain office and ensure supplies, snacks, and other items are stocked and organized
- Receive, distribute and send mail or packages
- Assist with on-boarding new employees and contractors
- Assist with organizing meetings and events throughout the year (e.g., Company all hands meetings, summer party, end of year celebration, etc)
- Keep digital records of documents along with physical documents as needed
- Manage Health Insurance and employee contributions
Qualifications:
- Ability to multitask and operate independently, with strong attention to detail
- Excellent organizational skills
- Excellent verbal and written communication skills
- Ability to work onsite at the Tech Dynamism office
- Ability to collaborate with team members onsite and remotely
Preferred Qualifications:
- 2 - 3 years experience bookkeeping for small companies
- Strong experience with Quickbooks online
- Experience with both the MS office suite and Google suite
- Experience bookkeeping for service based companies (eg. Consulting, Law, CPA)
- Interest and ability to learn a billable role in project management or software testing. Primary responsibilities would still be bookkeeping and office management, but when those activities have been completed, this individual could work with various project teams in helping manage smaller projects or software test web or mobile applications.
