ROLE SUMMARY
Alliance College-Ready Public Schools is seeking an Associate to support the GEAR UP federal grant program on the College Success Team in the Alliance Home Office and—by extension— our work to cultivate and empower counselors at our school sites who work with our scholars to be successful in college and in life. This position reports directly to the Manager, GEAR UP Family Engagement and supports the GEAR UP team through data management, administrative support, and communications.
WHAT YOU WILL DO
Data management and grant administration
- Collect, track and organize grant activity documentation from school sites and partners (i.e. sign-in sheets, agendas, photos, surveys).
- Enter data and pull reports from data management system to track progress towards goals and for annual federal grant report.
- Ensure data policies and procedures are met for effective and accurate data inputs and outputs.
- Track grant partner cost share, including cost share form completion, monitoring, and data entry.
Operations and administrative support
- Coordinate logistics for GEAR UP programming, including setting up rooms, ordering food, tracking attendance, printing and assembling materials, scheduling webinars, student/family/staff outreach.
- Create and execute contracts with a variety of partners.
- Ensure timely and accurate processing of vendor invoices.
- Implement operational practices to support effective collaboration with school sites and partners (i.e. calendaring, room set-up, taking notes and tracking next steps).
- Create college/career/internship resource lists for students and families.
- Support logistics of internal team meetings.
Effective and engaging communications
- Create monthly GEAR UP e-newsletter and printed family newsletter, including interviewing/researching for content, writing, designing, and managing listservs.
- Create branded materials including flyers, posters, swag, team apparel.
- Manage social media content and audience engagement.
- Maintain organized internal drive of documents and resources to facilitate knowledge sharing.
- Ensure accurate and timely communications to counselors, parent engagement specialists, principals, and other parties.
- Collect and synthesize feedback from users and systems to help inform systems enhancements and support.
THE IDEAL CANDIDATES WILL HAVE/BE:

- A belief that strong organization and processes will support the GEAR UP team and school staff to do their best work with scholars
- Fluency or ability to quickly get up to speed in technical systems such as Google Suite, CoBro Compass, MyEmma, etc.

- Willingness to go above and beyond to contribute to the success of a dynamic team committed to a new future for urban education
MINIMUM QUALIFICATIONS
- At least one (1) year of professional work experience required
COMPENSATION AND BENEFITS
In alignment with our commitment to equity for our scholars, Alliance is committed to equity and transparency for our team so we offer competitive salaries commensurate with experience and education, as well as an employer-sponsored 403b plan with an employer annual contribution equal to 5% of regular earnings, and a comprehensive group health benefits package, including medical, dental and vision coverage. This position is non-exempt. The compensation range for this position is $22.59/hour - $33.65/hour.
This position is federal grant-funded through August 2023 and is contingent upon annual funding approval through the United States Congress and Department of Education.
