    The primary purpose of the Bookkeeper is to manage the day to day financial operations of the company whose primary dealings are related to real estate sales, property management, and maintenance/ construction billing. A successful candidate will possess excellent numerical, communication, organizational, and problem-solving skills. She or he will have both the confidence and the experience to “own” their department by making important decisions in the management of the books and following through on their assigned responsibilities. This position would offer a rewarding career for anyone who enjoys keeping busy, making sure the numbers add up, systems are followed, and enjoys working with people. Note: We are willing to adjust the hours/ work schedule to less than 40 per week for the right candidate. 

    Detailed Responsibilities
    • Recording and/or paying all deposits and bills in Quickbooks and our Property Management software (Buildium). 
    • Organize all accounts payable and accounts receivable activity in both Quickbooks & Buildium.
    • Prepare Invoices; Process payments and make deposits.
    • Monthly reconciliation of all bank and credit card accounts.  
    • Manage bi-weekly payroll via Quickbooks.
    • Handling of processing and paying payroll liabilities.
    • Preparing and sending out 1099s & W2s.
    • Process and file new employee paperwork, including overseeing criminal and e-verify screening for all new employees, manage their enrollment process for healthcare, and handle W4s. 
    • Assist Company accountant in the preparation of Individual Corporate Income tax returns
    • Ensure compliance with company verification process for 3rd Party Vendors. Including prepare/ collect/ file lien waivers and W9s, as well as business insurance and worker’s comp policies.
    • Auditing company-wide and Departmental books (in Quickbooks and Buildium) regularly to ensure proper account balances and compliance with financial protocols. This will include pulling and reviewing reports in different software on a set schedule.
    • Create and monitor company expense budgets.
    • Work with Department heads and company owners to create financial goals and develop a system for tracking and monitoring the progress towards these goals. 
    • Oversee the creation and execution of processes, protocols, and instructions for bookkeeping processing throughout the company. 

    Skill Requirements
    • Natural ability with numbers. 
    • Possesses a high proficiency level using computers, smartphones, and cloud-based (digital) programs. 
    • Excellent task management and time management skills. 
    • Easily able to follow directions and work effectively under minimal supervision.
    • Highly organized, both digitally and with paperwork. Additionally, has an ability to hold others accountable for keeping to protocols and policies for the organization. 
    • Can see the “big picture” and how actions/ tasks may affect the entire system.
    • Is a natural problem-solver and often times can anticipate potential issues and take actions to avoid them before they happen. 
    • Consistently seeks to improve efficiency and will implement changes in protocols in order to maximize resources.
    • Professional verbal & written communication skills (English).
    • Responsible and dependable.
    • Trustworthy, and discreet. Able to maintain strict confidentiality in working with sensitive information 

    Education & Experience Requirement
    • Required: High School diploma or GED equivalent required; College degree preferred.
    • Required: Minimum of 3 years of experience working in bookkeeping or accounting degree. 
    • Required: Minimum of 3 years of experience with Quickbooks. 
    • Required: Payroll experience.
    • Preferred: Experience working in the real estate and/ or construction industries.

    Schedule & Compensation 
    • Pay: Approximately $38,000-$42,000 annually depending on experience.
    • Days: Exact work schedule to be determined but work will primarily take place during business hours of 8:00 am and 5:30 pm on Monday through Friday.
    • Hours: Approximately 35-40 hours per week. Willing to accommodate a flexible (set) schedule.
    • Employment Status: Full-time, salaried, exempt employee (W-4).
