Office Manager - Pilsen

In this role, you will be responsible for the run of the whole office, administration support and other tasks related to office management operations. The team in our Pilsen office has around 60 people and is full of enthusiastic people that are part of different departments – mainly Engineering, Lead research, Finance and other back office departments.

Key Responsibilities

  • Ensuring the Pilsen office is running smoothly and effectively
  • Being the face and the the front officer of the company not only for clients, external guests and candidates, but also for our own employees
  • Handling communication with suppliers, clients and other offices
  • Assisting with travel booking
  • Ownership of some projects
  • Managing orders, monitoring stock, organizing deliveries
  • Keeping track of all OM operations, creating and maintaining records
  • Participating in the organization of company events, and trainings, learning lunches 
  • Keeping records of hand-over protocols and other documents
  • Taking care of incoming and outgoing post, communication with team leaders and management
  • Providing administrative support to members of management
  • Administrative support for HR (language courses, medical checks)
  • Onboarding for new colleagues in the offices without local Office Manager
  • Supervising office cleaning and maintenance, planning and organizing consistent offices’ improvement; taking care of the office plants
  • Restocking & organizing the kitchens assisting with light office refreshment

Skills & Qualifications

  • Previous experience in back office is a big advantage
  • Fluent English (daily communication) and native like level of Czech/Slovak
  • Great organizational and time management skills
  • Strong communication skills, enthusiastic personality
  • Reliable, independent and accurate
  • Able to work under pressure and to keep the situation under control
  • Motivation to look for new improvements
  • Proactive, self-motivated, team player
  • Ready to roll up the sleeves and work manually (some days might be even 50:50)
  • Daily use of MS Office and Google including Gmail
