Accounting Coordinator/ Accounts Payable

Led by five owners, the firm’s work can be found across the globe, with projects as wide ranging as huts to high rises, homes—often for art collectors—to academic, cultural and civic projects, museums and exhibition design, places of worship, creative production, urban design and interior design.

The Accounting Coordinator position requires excellent attention to detail and organizational skills, process management skills and the ability to communicate effectively.  The capability to meet deadlines and an aptitude to follow-up on pending issues are necessary to the success of this position.  Ability to work responsibly with sensitive and confidential information is essential.

Reports to: Accounting Manager - Transactions

Your Responsibilities - 
  • Monthly entry and reconciliation of all company credit card charges and bills 
  • Maintain internal job code billing pertaining to copiers, plotters, printing charges, mileage logs, etc.
  • Maintain travel logs, foreign cash, and associated communicate with travel agencies
  • Accounts payable – invoice approval, coding, entry, and payments
  • Investigate and resolve accounts payable discrepancies
  • Assist with month end status reports and closing process
  • Coordinate with Project Billing to provide supporting documentation for reimbursable charges billed
  • Coordination with Financial Reporting for Washington State Use Tax payments, budgeting reports, and other financial reports as required
  • Assist in maintenance of vendor files and archiving process 
Other administrative back-up as requested

Must have -
  • Accounting Degree or equivalent work-related experience
  • Strong organization and time management skills and the ability to balance various projects simultaneously
  • Ability to work independently and as part of a successful team
  • Excellent attention to detail and strong analytical skills
Advanced Excel skills (VLOOKUP’s and Pivot Tables) used to process data 
  • Intermediate to advanced MS Outlook skills
  • Managed accounts payable for more than 50+ company credit cards

    Nice to have –
  • Experience with Deltek Vision or equivalent large ERP system management and reporting
