US Payroll Specialist

Job brief

We are looking for a US Payroll Accounting Specialist to process and manage the company’s payroll. You will be the one to calculate wages based on hours worked and administer payments.

A payroll specialist is able to use payroll software with accuracy and efficiency. They are good with numbers and can be trusted with sensitive information.

The goal is to ensure our personnel/employees in US receives the correct compensation in a timely manner.

Responsibilities

  • Running payroll for employees (W2) and for subcontractors (1099): Coordinating with the HR team to collect new employee/contractor information from them.
  • Ensuring the documentation is complete with respect to new employee/contractors.
  • Applying for state withholding and unemployment tax ids. Sending reminders about time sheets to consultants.
  • Running payroll maintenance before every payroll run (Examples include aprooved time-sheets, withholding changes (W4), pay rate changes, retro pay, reimbursements, insurance deductions).
  • Processing payroll (direct deposit and manual) based on frequency (monthly or biweekly) after final checking.
  • Execute, validate and perform necessary tasks to complete accurate and successful bi-weekly employee payroll through ADP.
  • Manage vacation and sick time accruals in payroll system and ensure all time off request are processed in-line with payroll cycle.
  • Process garnishments, child support orders, and tax levies.
  • Audit payroll and rectify any processing errors, missed wages, manual checks, and other exceptions in a timely manner.
  • Process new hires, terminations, and employee changes in payroll system and maintain accurate and up to date personnel files

  • Taking necessary caution not to duplicate payroll transactions
  • Finding solutions to notices received from IRS, SSA and state
  • Resolve payroll questions for employees as requested
  • Ensure appropriate approvals are provided and documented before changes in payroll occur.
  • Prepare bi-weekly management reporting
  • Ensure end of year compliance for payroll and W2 compliance.
  • General filing and administrative duties that relate to payroll and benefits management
  • Provide assistance as requested to management, finance team and HR

Requirements

  • Proven experience as US Payroll Specialist
  • Good understanding of US payroll tax requirements and relevant US laws associated with the processing of employee wage data, including payroll taxes, employee federal and state income and social security taxes, and other required reporting (SUI, workers compensation, deferred benefits etc.)
  • Proficient in MS Office and good knowledge of relevant software (e.g. Kronos, Payforce, ADP, Intuit) and databases
  • Trustworthy with attention to confidentiality
  • Outstanding organizational ability with great attention to detail
  • Good communication skills
  • High school diploma or equivalent; B.Com, BSc/BA in business, accounting or relevant field is a plus
