Objective:
The Administrative Associate position with Runway Innovation Hub is an enriching opportunity at a leading technology hub in the heart of San Francisco. This role will focus on creation and management of processes and procedures in order to promote efficiencies for the Runway organization. Primary tasks will include bookkeeping, financial documentation, supporting HR functions and coworking facility management. This position reports directly to the CEO and will play a central role in the smooth management of Runway’s business operations.

Roles and Responsibilities:
Back-office Administrator
- Maintain documentation library of
- Job descriptions
- Assist in drafting policies and administrative procedures,
- Legal agreement management
- Team technology hardware and office furniture (asset management)
- Facilitate procurement and negotiation of technology and other vendo contracts
- Maintain approval management system
Bookkeeper duties
- Maintain financial, accounts payable (AP), accounts receivable (AR) records
- Review invoices and expense reimbursement report for accuracy
- Assist in budget reporting and tracking
- Quickbooks - AP/AR data entry
- Draft client invoices
- Draft Runway member invoices, and maintenance of member payment balance/ profiles
- Reconciliation of accounting platforms (Office R&D, Stripe, Quickbooks, bank statements)
- Follow-up with late invoice payments
- Pull financial reports on a monthly and quarterly basis for business unit reporting
HR
- Maintain recruiting pipeline - facilitating the process from posting to interview scheduling and comments/feedback/consensus building.
- Provide hiring managers with recruiting status updates, finalist candidate summaries. Facilitate scheduling candidate interviews, reference checks and offer letters.
Reception Support
- Support Community Success Manager in welcoming guests and answering calls for an average of 2 hours a day
Landlord / Lessee Relationship Management
- Handles all manner of billing, legal, insurance, and tenant obligations
- Runway’s primary contact with building management company
Requirements:
- Highly organized and detail oriented
- Proactive and operates with extreme personal ownership
- Must be able to manage multiple projects and stakeholders at the same time
- Calm and positive under pressure – the world isn’t burning down
- Excellent interpersonal communication abilities; ability to manage multiple stakeholders
- Bachelor’s degree or equivalent. Preference for degrees in business, finance, or accounting, or related fields.
- 3-5 years experience in office administration / executive assistant / bookkeeping or related capacities
- Full proficiency in Quickbooks required (1+ years utilizing the platform)
- US work authorization. Visa sponsorship is not available
