<AR/SCHEDULING COORDINATOR>
As the AR/Scheduling Coordinator, you will be responsible for calling and monitoring the receivables of customer accounts for the company located at Headquarters as well as scheduling and coordination of interviews and other company events. This role is essential to ensuring the company’s AR and Scheduling needs are handled with care, accuracy, and experience in mind. You will help partners and customers understand their invoices and assist in resolving any questions or concerns. As part of the People and Operations team, you will work cross-functionally in a fast-paced environment allowing you the opportunity to interface with customers and candidates alike!
Your Impact on Our Mission

To support the Accounts Receivable and Talent Acquisition efforts of the organization by collecting payments, supporting the candidate experience, and ensuring invoices are sent accurately and punctually and paid on time.

Support the company in achieving revenue targets by ensuring payments are received on time and in full. Supports the company in hiring the right person at the right time through scheduling interviews and supporting a unique candidate experience.

Ensure receivables are followed up with on a timely basis, providing weekly report updates on collection efforts. Ensure interviews and the like are scheduled with accuracy and speed.
Who You Are
- Self-motivated, experience-focused with previous Accounts Receivable, Collections and Scheduling experience.
- Able to manage multiple projects and multiple cross-functional partners and customers
- You like people and numbers...in that order.
- Detail-oriented, organized, and uphold a high standard of excellence
Day in the Life
- Daily phone calls and email follow-up focusing on receivables activities
- Daily generation of invoices & management of revenue activity
- Support with candidate outreach, coordinating interviews and in-office candidate experience
- Provide general AR support including processing check deposits and reconciliations within Freshbooks.
- Support Travel & Expenses and related best practices
- Monthly posting of revenue activity
- Responsible for managing customers’ requested documentation (invoices, credit memos and/or other statements)
- Participate in the development, implementation, and maintenance of AR best practices, in order to establish increased payment efficiency
- Provides accurate, courteous, timely response to customers/vendors
- Maintains accurate and timely maintenance of company files and records
- Works with finance and accounting contractors to ensure internal revenue recognition and procedures are consistent with the companies defined policies
- Contribution to daily administrative activities of the organization
What You Have
- 1-2 years of relevant work experience; high volume customer service environment, demonstrating excellent customer service skills and ability to negotiate payments arrangements
- 1 year of account receivables experience
- 1-2 years of office or administrative experience with high exposure to calendering and coordination
- 2-3 years of experience using G-Suite and Microsoft Office, specifically Gmail, Calendar, excel/sheet, etc...
- This is a Part-Time hourly role 20-25 hours per week
- This could potentially be a Paid Internship Opportunity for Accounting, Finance or Business Majors
Ideally, you also have (optional)
- 1-2 years of technical proficiency in working in multiple systems and software simultaneously
- Some experience negotiating payment arrangements
