Office Coordinaton

Are you naturally curious, comfortable exploring new solutions and have analytical skills? 

​We are looking for an Office Coordinator to ensure the smooth running of our office “with a view” 

what you'll do 
You will be the glue that binds everyone together and the first person colleagues will approach when there’s a problem
Involved in planning internal company events, meetings, luncheons, workshops, and other special projects
Aiding with client reception as needed
Helping organize and maintain office common areas
Maintain office supply inventory
Manage relationships with vendors, service providers, and landlord, ensuring that all items are invoiced and paid on time
Manage contract and price negotiations with office vendors, service providers, and office lease
Maintain the office condition and arrange necessary repairs
Maintaining office equipment as needed
Operational support for CEO:
     Manage calendar and meetings 
     Manage and update agenda 
     Follow up on meetings, engagements
     Manage travel arrangements for CEO (and other people upon CEO’s request)
     Travel, hotel, car rentals, etc
     Complete expense reports

what you need to succeed
Prior experience handling office responsibilities, experience in customer service, or related field
Follow things through with resilience
Highly organized multitasker who works well in a fast-paced environment
Willingness to learn and to grow with the company
Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars
Excellent English level
