Corporate Administrator

The Client

Our client, an International Corporate and Trust Service Provider is looking for an experienced Corporate Administrator to join their team of professionals following a recent expansion in Malta.

Main Duties
  • Organise a portfolio of companies and trusts, including the preparation of minutes and annual returns
  • Maintain minute books either in physical files or electronically
  • Draft agenda/minutes/resolutions/proxies in relation to Annual General Meetings 
  • Draft minutes/resolutions in relation to Shareholders and Directors meetings
  • Prepare legal documents i.e. Certificate of Incumbency, Certified Resolutions, Secretary’s Certificates, Agreements
  • Prepare Annual Returns
  • Draft letters/emails/faxes to clients
  • Manage due diligence and compliance records for clients’ companies
  • Manage and organize filing systems both physical and electronic
  • Income and fee collection
  • Recording billable time

Requirements
  • A minimum of two years’ administration and/or compliance experience
  • Relevant Qualifiaction relating to corporate law, trust law and/or compliance matters will be considered an asset
  • Good knowledge of Malta’s (and/or other common law jurisdictions) legislation covering corporate and trust
  • Strong knowledge of AML-ATF legislation and compliance procedures
  • Strong IT skills with ability to learn new systems quickly
  • Competent in the use of Microsoft office products
  • A versatile, flexible and can-do attitude
  • Ability to communicate fluently and confidently in written and spoken English
  • Strong organizational skills with exceptional attention to detail
