    DESCRIPTION:
     
    Lodging Accounting Specialist’s main function is to assist in the maintaining of Premier Island Management Group financial lodging records through ensuring the proper recognition of lodging revenues and expenses within company’s property management system. Primary function includes Lodging Accounting, Homeowner Accounting, and Accounts Receivable.  

    KEY RESPONSIBILITIES: 

    Homeowner Lodging Accounting Responsibilities:

    • Month-end closing. Homeowner Statement production and payment distribution.
    • Property Management System reporting to ensure rental income collected through Guest Ledger is transferred correctly to owner accounting.
    • Coordinate with Housekeeping, Owner Relations, and Maintenance departments to ensure all charges are correctly and timely posted to owner statements. 
    • Review Homeowner Ledger balances monthly, communicate outstanding owner with Homeowners and ensure that payments are received when due.
    • Post Homeowners payments and submit payments for deposits.
    • Maintain Homeowner database within property management system and complete Unit Contract changes as needed.
    • Communicate Homeowners additions and deletions with Florida Department of Revenue and Escambia County
    • Maintain homeowner recurring charges database and make changes as needed. 
    • Prepare year end 1099 Owner Statements.
    • Manage all owner revenue and expense transactions and assist homeowners with questions.
    • Prepare month end journal entries for Lodging Owner revenue and expenses.
     
     Guest Lodging Accounting Responsibilities:
     
    • Coordinate with and assist Front Desk in making sure that all guest charges are correctly posted to Guest folios. Address changes and provide additional training to front desk and reservations agents when needed. 
    • Ensure proper and timely collection of advanced deposits, cancellation fees, room charges.
    • Ensure all cash/check deposits are posted in a proper manner. 
    • Collect monthly balances from long term guests and send statements. 
    • Assist Front Desk in clearing all checked out guests’ balances.
    • Assist Group Sales in clearing all checked out groups’ balances.
    • Provide research assistance for any reconciling items related to Lodging activity on the General Ledger
    • Handle disputes regarding charges which may include research and follow-up with the resort and the customer. Record and maintain customer communication history accordingly.
    • Post late arrival adjustments as needed
    • Process all rate adjustments 
     
    Occasional duties or projects which may be performed at irregular intervals: 
     
    • Records filling and storage
    • Assist with additional projects and tasks as assigned
     
    ACCOUNTABILITY:
     
    Records: Maintain physical and electronic accounting records in accordance with GAAP / IRS and SOX regulations

    SUPERVISORY RESPONSIBILITIES:
     
    None 
     
     EDUCATIONAL AND/OR EQUIVALENCE IN EXPERIENCE REQUIREMENTS: 

    • Bachelors degree in Accounting or related field preferred.  
    • Two plus years of accounting experience, specifically Lodging/Homeowner Accounting and Accounts Receivable.

    • Ability to work with mathematical concepts such as statistical and budget information.
    • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

    • Personal Computer, printer, calculator and standard office equipment and machines as required.
