Our company is searching for an experienced, reliable and task-oriented Executive Assistant. The Executive Assistant will work directly with the CEO and will be responsible for performing a number of administrative and personal duties for her. The ideal candidate is highly self-motivated, professional, and capable of managing their work load and prioritizing tasks in a fast-paced startup environment.
The role will include the following responsibilities:
- Personal assistance with CEO's "life tasks" including maintaining her social and personal calendar, ordering/pickup of meals, making reservations, wardrobe planning, and other miscellaneous tasks to free her up to focus on running the company.
- Coordination of executive communications, including taking calls, responding to emails and interfacing with clients and investors
- Preparation of internal and external documents for team members, clients, and industry partners
- Scheduling meetings and appointments and manage travel itineraries for team members
- Maintenance of an organized filing system of paper and electronic documents
- Invoicing clients and management of accounts payable/receivable.
- Management the office including taking care of our growing plant collection and ordering of supplies etc.
The ideal candidate will have most of the following qualifications:
- 2+ years of experience as an Executive/Personal Assistant
- Advanced computer skills with an ability to become familiar with firm-specific programs and software
- Proficiency in collaboration and delegation of duties
- Strong organizational, project management and problem-solving skills with impeccable multi-tasking abilities
- Exceptional interpersonal skills
- Friendly and professional demeanor
- Proficiency with Quickbooks
