Administrative Assistant

DESCRIPTION OF EDUCATION AND EXPERIENCE REQUIRED

  • Fifteen (15) years of administrative expertise and shall be (within the last three (3) years) in an executive administrative support capacity, preferably in an Air Force environment. Proficiency in all standard Microsoft Office computer applications (Word, Excel, PowerPoint, and Outlook) is necessary for success in this position. 

DESCRIPTION OF TASKS

  • Serves as an advisor to the 711 HPW/RHM Division Chief and reports to the Chief, on all administrative and personnel matters within the organization. The contractor shall review, evaluate, analyze and implement higher headquarter guidance in support of the organizational mission. The contractor shall strategically and proactively manage data and update information retrieved from varied sources. The contractor shall possess extensive organizational skills and the ability to work independently.

  • Assist the Government in performing a variety of executive-level administrative tasks in support of the day-to-day oversight and management of the 711 HPW/RHM Division by maintaining files, spreadsheets and briefings, preparing various types of documentation, tracking Division suspense’s, scheduling Division meetings, managing Division TDY requests and coordination, supporting meetings held by the Chief (with some requiring preparation of briefing materials, and taking notes/minutes from the meeting), and other within scope activities as required by the Chief.

  • Provide data entry, retrieval and management support while providing assistance to program and technical staff. The contractor shall assist with 711 HPW/RHM’s management and technical expertise support for Share Point. The POC shall have the knowledge and ability to maintain sites in Share Point for the Division. The contractor shall also be able to resolve questions, consult, and track down information on Share Point.

  • Type routine correspondence and reports using a personal computer, and operate office equipment such as photocopier, fax machine, scanner. Ideally, the contractor should be familiar with the normal operations of video teleconferencing equipment. The contractor shall also answer the telephone, screen callers, maintain schedules for the Division and Branch Chiefs and the Division Chief’s immediate reports, and relay messages and greet visitors.
