Executive Administrative Assistant


The purpose of this effort is to acquire professional, scientific, and technical support services for the United States Air Force School of Aerospace Medicine Department of Aeromedical Research (USAFSAM/FH). USAFSAM/FH is responsible for the entire Defense Health Program (DHP) Research Mission in the 711th Human Performance Wing (711 HPW). The contractor shall provide professional, scientific and technical research and analysis support for USAFSAM/FH.


The candidate shall have...

15 years of administrative expertise, and should be (within the last 3 years) in an executive administrative support capacity.

3 years executive administrative support in an Air Force environment is desired. Desirable elements will be treated as a strength.

Proficiency in all standard Microsoft Office computer applications (Word, Excel, PowerPoint, and Outlook) is necessary for success in this position.


The candidate shall...

Provide administrative support for USAFSAM/FH executive staff, to assist with the execution of the mission. 

Serves as an advisor to the FH department chair and all immediate reports to the Chair, on all administrative and personnel matters within the organization. 

Review, evaluate, analyze and implement higher headquarter guidance in support of the organizational mission. 

Strategically and proactively manage data and update information retrieved from varied sources. 

Possess extensive organizational skills and the ability to work independently.

Assist the Government in performing a variety of executive-level administrative tasks, in support of the day-to-day oversight and management of the USAFSAM/FH department, by maintaining files, spreadsheets and briefings, preparing various types of documentation, tracking departmental suspenses, scheduling departmental and division meetings, managing department TDY requests and coordination, supporting meetings held by the Chair (with some requiring preparation of briefing materials, and taking notes/minutes from the meeting), and other activities, as required by the director.

Provide data entry, retrieval and management support, while providing assistance to program and technical staff. The contractor employee shall assist with FH’s manager and technical expert for Share Point. The contractor employee shall have the knowledge and ability to maintain sites in Share Point for the department. The contractor employee shall also be able to resolve questions, consult, and track down information on Share Point.

Type routine correspondence and reports, using a personal computer, and operate office equipment such as photocopier, fax machine, scanner. The contractor employee should be familiar with the normal operations of video teleconferencing equipment. The contractor employee shall also answer the telephone, screen callers, maintain schedules for the Chair and the Chair’s immediate reports, and relay messages and greet visitors.
