DESCRIPTION OF SERVICES
The United States Air Force School of Aerospace Medicine (USAFSAM) provides Aerospace Medicine Training, Education, and Consultation to Enhance Warfighter Performance and Combat Casualty Care for World Wide Operations in Garrison and War. USAFSAM is the center for aeromedical education, training, and consultation in direct support of USAF, Department of Defense (DoD), and operations. USAFSAM provides peacetime and contingency support in hyperbaric, human performance, clinical and environmental health, expeditionary medical support, and aeromedical evacuation.
The Aerospace Medicine Education Division (FEE) of USAFSAM develops, trains and educates medics on a wide variety of aeromedical concentrations; serve as subject matter experts for consultations; and support research and other operational needs in aerospace medicine and related fields for the United States Air Force and the Department of Defense to enhance war fighter performance and flying safety. USAFSAM/FEE is the sole Air Force pipeline for three USAF Career Fields; oversees/manages the operational flight surgeon residencies; provides continuing education on aeromedical and operational topics; and, manage international aeromedical training for USAFSAM. USAFSAM/FEE consists of three branches: FEEE— Aerospace Medicine Education and Training Branch; FEEI—International Training Branch; and FEEG— Aerospace Graduate Medicine Branch.
This particular effort includes tasks and activities to be performed by the contractor in support of USAFSAM Aerospace Medicine Education Division (USAFSAM/FEE). The candidate will perform the tasks outlined in the following paragraphs to fulfill the requirements of this task order. The candidate will provide administrative support and assistance in areas required to meet the stated objectives and to accomplish the work required.
DESCRIPTION OF EXPERIENCE REQUIRED
The candidate shall have...
- Associate’s degree with at least three (3) years of experience as an administrative assistant; any administrative assistant experience in a military setting is highly desired.
- Working knowledge of Microsoft Office programs such as Access, Excel, Word, PowerPoint, and Visio in addition to Adobe Acrobat 10.
- Work history with documented advanced typing skills; extensive organizational skills; and the ability to work independently.
DESCRIPTION OF TASKS
The candidate shall...
- Receive telephone calls, greet visitors, and ascertain the nature of the calls or visits and direct the caller or visitor to the appropriate staff member or office.
- Send and receive faxes.
- Maintain the ability to answer non-technical requests for information such as status of reports, suspense dates for matters requiring compliance, and have similar information readily available from files or from knowledge of organization.
- Review and process incoming and outgoing correspondence, reports, materials, publications, regulations, and directives and maintain FEE’s Electronic File Plans in accordance with policies and directives.
- Proofread/edit correspondences and documents for correct grammar, spelling, capitalization, punctuation, and format.
- Return incorrect material prepared by others with revisions marked.
- Prepare a wide variety of recurring and some nonrecurring correspondences, reports, and other documents; as well as review and finalize correspondences/documents prepared by others in handwritten or electronic drafts.
- Ensure all required documents are attached to all official reporting documents for appropriate routing and signatures.
- Prepare and track weekly and monthly reports for inclusion in USAFSAM and Higher Headquarters meetings and reports.
- Track, monitor, review and edit official reporting documents such as military and civilian appraisal reports, promotion board packages, award packages, and decorations.
- Maintain current knowledge of personnel’s raters and suspense dates of the official reporting documents.
- Monitor suspense dates and bring to the supervisor’s attention those that cannot be met by requested date or when there is a conflict.
- Ensure coordination procedures are followed.
- Maintain current knowledge of the division’s personnel, their positions, locations and contact information.
- Maintain knowledge of USAFSAM leadership and organization flow for routing purposes.
- Disseminate current information to all division personnel on a monthly basis and/or as information changes.
- Work with internal computer programs such as Education Training Management System (ETMS), Travel Request System (TRS), Defense Travel System (DTS), Management Internal Control Toolset (MICT), Virtual Personnel Center (vPC), Sharepoint, and LiveLink.
- Prepare, coordinate, and submit travel requests through various electronic systems such as Education Training Management System (ETMS) and Travel Request System (TRS).
- Arrange transportation and lodging, assist in the preparation of travel orders, and submit travel vouchers for personnel utilizing the Defense Travel System (DTS).
- Assure confidentiality of documents, communications, and data related to the duties above.
- Monitor office supplies and request replenishment of office supplies in a timely manner to ensure all items are readily available to accomplish all aspects of their administrative duties in order to prevent delays.
- Provide administrative and technical support to the USAFSAM/FEE Course and Program Directors and Instructors with day-to-day operations, management of professional courses and workshops.
- Assist staff in organization and transmittal of day-to-day data and information.
- Assist in maintaining the Continuing Medicine Education CME database for students attending USAFSAM/FEE courses.
