The Receptionist will be familiar with administration tools and how to use them to schedule trips, events, meals, gifts, and more.
- G Suite (Including Gmail, Calendar, Drive)
- Telephone system routing
- Travel scheduling and booking
- Meal planning
- Shipping and Receiving
RESPONSIBILITIES
Primary
- Answer the phone and direct calls
- Monitor public inboxes and Social Media
- Receive guests, make them feel welcome, and coordinate with whoever they are there to see. Offer them water, coffee, etc.
- Receive deliveries (mail, UPS, FedEx, food deliveries, etc.)
- Coordinate and book all travel (hotels, AirBnB, train tickets, plane tickets, etc.) for JG employees and some (not all) guests
- Order lunch for executives, guests and teams. This may include picking it up if it isn’t delivered.
Daily
- Making sure coffee is brewing in the morning if it hasn’t been started.
- Clean up the reception area, kitchen area and conference rooms (we’ll have a cleaning service, this will consist of straightening up and supplemental cleaning)
- Clean up after team/group lunches
- Communicate supplies that need to be ordered to Ant Conway
- Oversee conference room booking calendars
- Prepare conference rooms before meetings with outsiders by making sure there is water, coffee, pads, pens, etc.
- Coordinate yoga classes on the terrace
