We are seeking a Studio Manager/HR Coordinator to be responsible for the day-to-day office management and HR support of our SF office. The ideal candidate will be a positive, energetic, team player who is flexible, tech-savvy, and can juggle multiple priorities at a time. They will work closely with all members of the team and will be a champion of a positive office environment. 


General Office Administration 
  • Welcome guests, answer phones, and respond to general company emails
  • Sets the general mood and energy for the office - positive, uplifting, solution-oriented
  • Maintain a clean and functional office environment
  • Ensure office supplies, kitchen items, cleaning supplies, and snacks are well-stocked and orderly
  • Set up meeting rooms for meetings/interviews/client presentations
  • Responds quickly to unexpected maintenance or other office incidents

Human Resources Support
  • Post open roles on company website using Google Hire
  • Review, comment, and filter job applicants to support of hiring managers
  • Facilitate interview scheduling between hiring managers and candidates
  • Draft offer/engagement letters for full time, freelancers, vendors and interns
  • Onboard and train new employees, freelancers and interns on systems, procedures, and general office tasks
  • Coordinate weekly Imprint learning lunch discussions
  • Coordinate team outings, birthdays, work anniversaries, project close-out celebrations, and other celebrations

Hardware & IT Maintenance: 
  • Oversee and manage installation, inventory, upkeep of office equipment and hardware (computers, A/V, conference call set-ups)
  • Oversee and manage the setup and operation of office software systems (file-sharing, task tracking, contact management, etc.)
  • Identifies and recommends solutions for  out-of-date or difficult to use hardware/software
  • Maintain up-to-date, easy-to-follow user documentation for office hardware and software

Systems and Workflow:
  • Ongoing fine tuning of workflow/processes (e.g. documentation, how-to’s, demos) 
  • Update company databases as needed

Meeting Facilitation:
  • Coordinate and lead weekly office meetings
  • Participate in weekly meetings with Managing Director
  • Assist Managing Director in coordinating meetings, as needed

Financial Performance:
  • Manage Office Budgets and Track Expenses
  • Manage office expense, event, and maintenance budgets including internal events, renovations
  • Code company credit card and petty cash transactions bi-monthly (Expensify)

Client Work
  • Support client projects as directed by MD

  • Maintain weekly office meetings with Managing Director
  • Assist in training and onboarding of new employees

  • Reports to Chief Operating Officer
  • Support Managing Director 

  • 4+ years in an operations, human resources or administration role
  • Hyper organized (ability to multitask)
  • Great communicator (written and verbal)
  • Understands workflow across company and teams
  • Positive, outgoing energy - constructively bring order!
  • Proficient in all Google Apps, Microsoft Office, Slack, Asana, Expensify, comfortable using Adobe InDesign
