Human Resources Administrator

Job Summary: 
Under general supervision this position will handle a variety of duties by providing administrative support to the Corporate Human Resources department.
Job Expectations:
  • Manage team member status change forms, title, pay, department changes in ADP. Communicate changes with Payroll department
  • Maintain all personnel files, I-9 records, drug and alcohol screening and background investigation results and other personnel records
  • Ensure iHerb is in compliance with all laws and regulations and demonstrates “best practices” in regard to personnel information management
  • Handles the on-boarding of new team members, ensuring that relevant paperwork/documentation is received
  • Compiles and audits all paperwork for new hires/terms/existing personnel to ensure compliance with company/state/federal requirements.  This may include compiling new hire/term packages, ensuring benefits paperwork is completed and received in a timely fashion, ensuring adequate forms are available, etc.
  • Organize and work independently on multiple assigned tasks/projects and complete assignments within specified deadlines
  • Scan all personnel documents to email / separate by each Team Member’s name and upload to online personnel files
  • File all documents into each Team Members personnel file
  • Update compliance posters and bulletin boards 
  • Send business card orders to Receptionist for all new hires – requesting business cards
  • Setup / track and maintain Sexual Harassment training log for entire company – new hires and every two year compliance
  • Email background progress for candidates to hiring managers and recruiter
  • Send out Welcome letter and packet
  • Maintain Safety roster for Safety Manager – sending weekly updates
  • Follow through on complete life-cycle for each team member
  • Manages the iHerb company newsletter and Viewpoint suggestion program, gathers information, creates articles, publishes and distributes
  • Coordinates HR communication through CCTV, newsletters and flyers
  • Assists with Federal, State and company leave of absences (FMLA, CFRA, PDL, PSL, jury duty, bereavement), communication with team members, follow-up, tracking and partnering with third-party vendor on the leave administration process
Knowledge, Skills and Abilities:
  • Must be bilingual in Spanish
  • Must be detail oriented 
  • Demonstrate respect and sensitivity for cultural differences, exercise tact, discretion and prudence. Communicate with individuals from a variety of social, cultural, economic and educational backgrounds, and in often sensitive or confrontational situations. Ability to maintain confidentiality
  • Effective communication skills; written and verbal, with the ability to draft correspondences, policies and procedures
Equipment Knowledge: 
  • Possess high level skills using personal computer applications such as Microsoft Office, payroll, HRIS and time and attendance software  
Experience Requirements:
Generally requires a minimum of three (3) years’ experience in Human Resources supporting various levels of Human Resources and department management. Experience working with ADP Workforce Now 10 highly preferred.
