Office Coordinator

Job Summary: 
Prepare to be busy!  Under general supervision the Office Coordinator will be the face of our Irvine office and the first point of contact greeting employees, vendors & visitors with a warm and welcoming approach on both the phone and in person.
Job Expectations:
  • Welcoming onsite visitors and internal employees with a cheerful disposition
  • Support meeting and conferencing needs 
  • Manage conference room reservations
  • Schedule travel as needed
  • Reconcile expense reports
  • Perform other administrative tasks such as data entry, filing, and sorting incoming mail
  • Maintain security by following company policy and procedures; maintaining logbook, issuing visitor badges
  • Monitors and maintains inventory of supplies throughout the facility
  • Manage as-needed projects to upgrade facility and/or equipment
  • Maintain an updated map of facility and workstations
  • Coordinate document storage, digitizing, archiving and shredding as appropriate
  • Managing and assisting the CTO as needed
  • Other tasks and duties as assigned
Knowledge, Skills and Abilities:
  • Self-sufficient – Knows when to ask questions for direction/clarification and also able to take individual initiative when necessary
  • Ability to multitask and deal with constant interruptions 
  • Extremely detail oriented and conscientious
  • Highly focused on customer service and support Strong knowledge of MS Office, including Word, Excel, PowerPoint and Outlook
  • Desire to ensure every visitor to iHerb has an engaging and positive experience.
  • Willing and excited to learn and grow
Experience Requirements:
Generally requires 2-4 years in a fast paced, office environment 
Education Requirements:
Associates Degree Required.  Bachelor’s Degree is highly preferred
