This is a great opportunity for someone that wants to work independently and create policies and procedures for a growing Architecture office as this will be our first Office Manager hire.
We are looking for a mature and energetic professional who doesn’t mind wearing multiple hats. Experience in handling a wide range of administrative and executive support related tasks and able to work independently with little or no supervision. Well, organized, flexible and enjoy the administrative challenges of supporting an office of diverse people.
Responsibilities:
- Organize and coordinate office administration and procedures
- Develope intra-office communication protocols, streamlining administrative procedures, inventory control, office staff supervision and task delegation
- Assist Principals with their day-to-day; calendaring, travel arrangements, schedule, etc.
- Maintain the materials library, events calendar, office education functions, graphic standards and procedures
- Project support
- Manage marketing, public relations, and social media presence
- Answer phone, greet visitors, prepare conference room, office supplies
- File and Archive
- Manage thank you notes and presents for clients and colleagues
- Plan office events (2-3 per year)
- Support FF&E: POs, tracking, installation
- Answer request proposals from consultants
- Write project descriptions, blog and review web site SEO.
- Submit RFQ and RFP
- Website maintenance
- Attend PR Events to generate business
Qualifications:
- Software Proficiency
- Outlook calendar
- Microsoft Suite: Word, Excel, Powerpoint
- Graphics: Photoshop, InDesign
- Quickbooks
- Studio Projects or similar a plus
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- High School degree; additional qualification as an Administrative assistant or Secretary and Architecture and Design office a plus
