Role Description
This is an opportunity to have a direct and daily impact in an exciting energy technology startup. We are looking for an organized, detail-oriented, and motivated person to help support the team and complete the tasks that keep the office running. This role requires you to manage multiple competing priorities and ensure each is completed on time. This role will interact with a wide range of team members and external partners on a variety of business-critical tasks, requiring a high level of reliability and professionalism.
What You’ll Do
- Manage office operations and logistics including high volume scheduling, internal and external communications, visits from partners, and corporate travel
- Lead a variety of projects to mitigate office inefficiencies and in support of daily business operations
- Own meeting logistics for the company by actively scheduling and managing meeting resources (room booking, AV equipment, and video conference set-up)
- Handle administrative details of candidate interviews and visitors, including scheduling, travel booking, and expense management
- Communicate with partners, vendors, distributors, and carriers to support the team’s purchasing and procurement needs
- Support the management and processing company expenses and purchase orders
- Manage inventories of lab and office supplies and re-order as necessary
- Support efficient operations of facilities
- Manage tracking and execution of legal documents (e.g. NDAs, contracts, etc)
- Provide basic IT support
What We’re Looking For
- 2+ years of experience in providing administrative support
- Bachelor’s Degree preferred
- Bright, high-energy individual, with a passion to learn and contribute
- Ability to work in a high pressure, dynamic environment with a high degree of professionalism and discretion
- Demonstrated ability to prioritize and manage time among multiple work priorities
- Track record of driving projects to a successful conclusion, meeting deadlines, and anticipating future responsibilities
- Extraordinary interpersonal, written and oral communication across multiple levels of management
- Technical experience including the capacity to use or learn key business software such as Microsoft Office, Google Apps, Quickbooks Online, TSheets, Gusto, Guideline, and other cloud-based services
