About the Executive Assistant role
Our firm is led by Jim Tananbaum, founder, CEO and managing director. Jim is a four-time Forbes Midas List recipient for his successes in venture capital. You’ll be a key business partner for his operations and activities, helping his work life run smoothly so that he can focus on what he does best. We are seeking a skilled, accomplished individual who is able to anticipate the needs of our CEO, and help him stay focused on his projects by resolving operational and administrative issues before they come up. The ideal candidate is up to date with the latest project management tools and processes, and uses that knowledge to strategically support and organize the CEO’s projects. In addition to being organized and analytical, you possess business judgment and the interpersonal skills needed to successfully interact with a variety of people (internal and external) in various job functions. 

  • Perform a variety of administrative tasks on behalf of the CEO
  • Manage calendars, book travel, organize budgets and other administrative functions
  • Coordinate meetings, events, and team communications (may require travel)
  • Coordinate meetings with external advisory boards
  • Assist with presentations and presentation materials
  • Takes minutes for applicable meetings and drives follow up on action items
  • Organize and coordinate projects for a range of team initiatives, from idea generation through execution
  • Work with the administrative team on department projects as needed, and collaborate closely with the CEO’s personal assistant to ensure seamless running of his work and personal lives
  • Make judgment calls to ensure the smooth running of the department and the team calendars
  • Build efficiency and effective responsiveness into existing operations, and help define new operational strategies

  • BA/BS degree
  • 8-10 years of direct executive support experience, preferably C-level
  • Background (academic or functional) in healthcare or the life sciences is greatly preferred
  • Experience organizing and supporting projects from conception to completion
  • Deep understanding of process, project and program management practices
  • Ability to ensure complete confidentiality on all business matters
  • Ability to effectively communicate and collaborate with a diverse range of people and job functions
  • Excellent computer skills with expert knowledge of Microsoft office programs (Outlook, Word, Excel, PowerPoint) and Google Suite (Gmail, Calendar, Docs, Sheets, Slides) 
  • Able to juggle competing priorities, time-sensitive requests and occasional moments of pressure with a smile
  • This role may require evening and weekend work at times
