Executive Assistant

Position Description
The Executive Assistant will support the executive team in a variety of administrative tasks, including meeting scheduling, calendar management, travel coordination, expenses, and office management. Beyond these core responsibilities, we are seeking candidates who are excited to play a hand in setting the company culture, including by organizing internal team-building events, building internal communications, and setting up the team to be successful in myriad ways!
The ideal candidate will be responsive, confident, and creative, as this individual will quickly become a daily problem solver and integral to our internal operations.  This is a rare chance to learn at the cutting edge of addiction care and recovery by getting in at the ground level of a business that will impact millions of lives in a profound way 

Candidate Responsibilities
  • Manage executives’ calendars and set up meetings
  • Act as the point of coordination between executives and external partners
  • Make travel bookings and meeting arrangements
  • Prepare expense reports
  • Be responsive to daily needs of the executive team members
  • Serve as a welcoming greeter for guests to our office
  • Organize team-building and other events
  • Manage office space needs, including supplies or physical space needs 

Candidate Qualifications
  • Bachelor’s Degree required
  • Work experience as an executive assistant
  • Exceptional written and oral communication skills
  • Outstanding organizational and time management skills
  • Strong orientation to detail
  • Ability to work both independently and as part of a team
  • Fluency in at least one of Microsoft (Outlook, Word, Excel, and PowerPoint) or Google (Calendar, Documents, Slides, Sheets) product suites
  • Welcoming and warm personality
  • Ability to multitask and prioritize
  • Ability to work across dispersed teams
  • Willing to learn new technologies
  • Not afraid to pick up the phone
Nice to have:
  • Experience or interest in healthcare
  • Experience or interest in communications strategy
  • Familiarity with office setup and management
