Position Summary:
DT Global is seeking a Program Assistant to support USAID’s Climate Ready project. The primary objective of Climate Ready is to assist Pacific Island countries to achieve their climate adaptation goals by supporting them to develop and implement climate action policies, plans and projects in a manner that is country-driven, coordinated, inclusive and equitable. The Program Assistant will primarily provide administrative, logistical and procurement support to the project. Secondary roles include supporting the project monitoring and evaluation activities and supporting the implementation of project activities.
Essential Responsibilities:
- Provide day to day program management and administrative support;
- Prepare travel arrangements for staff and short-term consultants including flights and accommodations;
- Support implementation of trainings and other program activities
- Maintain all relevant project files;
- Work with Finance Manager to assist with budget inputs, purchase orders and other financial matters;
- Manage office petty cash.
- Ensure compliance with administrative processes according and Project Manuals and OneSource;
- Administer and manage the logistics and contacts for services with service providers such as travel agents, hotels, translation and interpretation agencies, office suppliers etc.
- Organize meetings including venues, facilities, document preparation and catering;
- Support, when necessary, the procurement of materials for the project;
- Other duties, as assigned
Qualifications:
- Bachelor’s degree or equivalent
- Minimum one-year relevant experience in an office environment, working with a dynamic team
- Strong leadership, analytical and organizational skills
- Demonstrated ability to quickly assess priorities and effectively manage a variety of activities at a time while paying appropriate attention to detail
- Strong communications skills and fluent in English.
