Director, Operations

Day One is looking for a Director of Operations to lead our Operations team. Our team is rapidly growing, so you should be comfortable (and flourish) in a deeply dynamic environment. The Director of Operations serves a vital role at Day One and is the glue that connects the dots across the people, places, and things of the agency to ensure consistent and frictionless day-to-day operations. This position reports to the President and CEO.

This position is full time and only available in New York City.

Responsibilities
The ideal candidate is a proven leader and collaborator who can discover the most efficient ways to run the business and anticipate agency needs. This candidate should be entrepreneurial minded, detail oriented, and efficiency centric. This candidate should also have a strong work ethic, with solid finance, office operations, writing, and oral communication skills. They should also demonstrate resourcefulness, a strong sense of teamwork, and a desire to be a part of helping us grow. Finally, they will also live and breathe (and pass on) Day One’s approach to work– fresh thinking, new energy, every day.

Operations:
This position will oversee agency operations with a focus on the back of house (office and building operations) and outside partners, as well as continuously evaluate existing partner relationships and agency resources to maximize efficiencies. This position will also collaborate closely with the President on all Accounting and Budgeting related matters, HR for onboarding and offboarding, and our VP of Culture to plan and execute all agency events. In 2019, we also plan to build out a stand-alone West Coast operation. This position will lead that effort.

Ongoing responsibilities will include overseeing existing vendor relationships, proactively seeking out new technologies, partners and alternative methods of efficiency and working out a strategy for improving as necessary.

This position will partner with HR to shepherd our professional development and learning programs forward. Day One is a learning organization and we are committed to advancing our talent and combined skill set. As part of talent development, this position will also keep his/her finger on the pulse of workplace benefit trends to ensure we are providing the latest and greatest to best motivate our team. This position will also partner with our VP Culture & Community to organize and realize agency moments and milestones that help to foster a sense
of team and community.

  • Oversee Office Operations and the IT departments across all Day One offices
  • Manage, Plan and set yearly Operations Budgets across all offices
  • Review financial information and adjust operational budgets to promote profitability
  • Own existing Partner/Vendor Relationships and Agreements
  • Oversee agency wide cyber security compliance and business continuity planning
  • Ensure staff is well informed of current processes and tools
  • Develop, document and continuously improve scalable processes
  • Ensure necessary resources (ie. office space, people, support functions) are available so the company can operate effectively and anticipate upcoming needs so that necessary actions can be taken to stay ahead
  • Collaborate with the VP of Culture on planning and executing office-related events

  • Extremely self-motivated, organized and reliable
  • Ability to multi-task and work efficiently with precise attention to detail
  • Proven experience in Marketing/PR/Advertising agency or start-up operations
  • Proven experience with technology partners, accounting and finance, industry trades and outside vendors
  • Exhibit an entrepreneurial spirit and enjoy contributing to the creation of new systems, programs and company culture
  • Problem-solving skills

Requirements

  • Work experience in the operations field
  • 8-10 years experience preferred
