Executive Assistant

In this role, you will be supporting fast paced executive leaders in the operations and technology teams. You'll be in the middle of all the action and ensure all is running smoothly for the executives in your group. You’ll be managing calendars, travel, calls, greeting guests, and handling travel expenses. Responsibilities

Support Multiple Executives
  • Supporting several leaders with lots of direct reports.
  • Weekly planning meeting with supported executives
  • Balance efforts across all executives supported
  • Plan team building events
  • Screening and prioritizing communications, both external and internal.
  • Preparing agendas, reports, presentations, and other important materials.

Calendar Management
  • Maintain calendar(s) resolving conflicts
  • Coordinate with other EAs and staff as needed
  • Meeting Planning and Coordination - Internal and External
  • Reserve conference/meeting rooms.
  • Coordinate meal and beverage requirements addressing dietary restrictions as needed. Assist with group dinners and reservations.
  • Ensure flawless local execution of central employee experience strategy (e.g. social events, meet ups, conferences, etc.)
  • Travel Management
  • Make travel arrangements in accordance with company policy
  • Follow and communicate company guidelines
  • Provide multiple travel options ensuring best/lowest costs
  • Add all travel to Executive calendars noting busy time accordingly

Expense Management
  • Complete/submit expense reports adhering to company guidelines
  • Inspect to ensure best/ lowest costs when incurring any expenses e.g., travel, supplies, etc.
  • Remind execs of deadlines for expense reports and gather missing receipts
 
You’ll Need To Have
  • Bachelor’s degree or one or more years of work experience.
  • Supported senior leaders


Better If You Have
  • Proven ability to work well independently and under pressure.
  • Excellent communication skills and ability to focus on the details.
  • Prepared executive presentations, communications, and reports.
  • Managed multiple projects and priorities for yourself and others.
  • BA/BS degree preferred
  • 3+ years providing executive level support
  • Experience with G Suite
