SUMMARY
The Property Manager is responsible for the management of the property portfolio in accordance with company policies, procedures, and standards. Responsibilities include availability for after-hours emergency notifications, some travel, mentorship of property assistants and building engineers, and managing all aspects of property maintenance and financials.
PRIMARY JOB RESPONSIBILITIES
- Acts as the property owner’s agent/representative and fiduciary. Ensures owner objectives are met
- Responds to tenant needs, ensuring that onsite team or vendors resolve problems promptly
- Prepares and/or reviews lease abstracts uploaded into accounting software
- Prepares and/or reviews and distributes prepared Lease Commencement letters
- Coordinates administrative function for tenant move-ins and move-outs. Distributes move-in packets and ensures all new tenant information is obtained
- Provides Lease administration in accordance with procedures
- Oversees and/or manages utility/energy management tracking
- Oversees and/or manages tenant bill backs process
- Works with MyCOI to ensure tenant and vendor insurance compliance
- Provides weekly asset management reports
- Prepares monthly and quarterly owner reports, which include monthly variance explanations
- Supports all property acquisition and sales by participating in due diligence process
- Conducts regular property inspections and delegates repairs/maintenance as needed
- Coordinates annual inspections for building systems · Forecasts management plans to effectively prepare for monthly performance
- Prepares annual operating expense reconciliations Prepares funding requests if applicable
- Prepares and administers annual property budget
- Prepares and updates a five-year capital plan in compliance with owner objectives
- Prepares budget reforecasts as applicable
- Ensures invoices are coded correctly, explains variances, and approves payables
- Prepares monthly accruals and commercial billings updates · Tracks and performs accounting duties as needed for applicable gross sales receipts
- Responsible for collecting rent in compliance with lease requirements
- Ensures proper maintenance of tenant and property files · Ensures tenant maintenance of building equipment where applicable
- Maintains building manual including lease lists, floor plates, site plan, structural information, building standards, system instructions, fire plans, emergency evacuation plans, tenant contact lists, etc.
- Contracts vendor services as required and work with the onsite team to ensure completion of services
- Ensures that services are provided in compliance with policies, procedures, regulations and contractual obligations and standards
- Ensures aged receivables are maintained properly and collections efforts are performed
- Oversees small capital and/or tenant improvement projects as needed
- Ensure property is managed in accordance with owner directives and Cielo processes; this will require daily check-ins since most of the team is in another location
- Some travel will be necessary
SKILLS
- Basic knowledge of financial terms and principals ·
- Intermediate Excel proficiency
- Ability to accurately preparing budgets and operating expense reconciliations
- Superior verbal, written and organizational skills
- Excellent customer service skills
- Expert knowledge in tenant and vendor relations
- MRI, Yardi and/or Kardin experience
EDUCATION
- Minimum of High School Diploma required
- 4+ years of related work experience required
- Real Estate License for state in which managed property is located preferred
- CSM, CCIM, RPA, CPM or other similar educational certification classes completed preferred
