Medical Office Receptionist (Late Clinic Shift)


Position:
Receptionist

Reports to: Office Manager

Purpose: To provide high quality reception, scheduling, and secretarial services to the patients, doctors and staff at CMC in a caring and supportive manner.

Responsibilities and Duties:
  • ƒAnswer the telephone in a courteous and professional manner 
  • ƒReceive and convey messages in writing, verbally and electronically 
  • ƒAssist patients and their families in a compassionate manner 
  • ƒMake appointments following preset scheduling rules
  • Fax and ƒScan documents 
  • ƒOpen and distribute incoming mail 
  • Assist in routing telephone calls and messages to the appropriate clinical staff
  • Collect copayments at each patient encounter
  • Checks and Transcribes demographic information from the patient intake sheet to their electronic medical chart to ensure correct demographic information on each patient
  • Is able to appropriately triage telephone calls from other health care facilities or from other nurses or physicians to the appropriate clinical staff in a timely manner
  • Communicates with providers effectively about patient and scheduling conflicts (i.e. doublebooking, rescheduling, follow-ups with a different provider)
  • Ensures that each patient has the correct forms to fill out prior to each patient encounter (demographics, medical record release, HIPAA, well child check forms, new patient intake forms, etc.)
  • Verify insurance eligibility, obtain Medicaid referrals, and assist patients with hardship program application
  • Make bank deposit at end of day

Schedule
  • This position will be responsible for working the "late clinic" shift, which occurs from 5-7pm Monday - Thursday
  • The individual hired may choose to work a schedule of 8am - 7pm M-Th , or 10am - 7pm M-Th plus 8am - 5pm on Friday

Qualifications:
  • Excellent communication and interpersonal skills
  • Excellent ability to multitask
  • Attention to detail 
  • Due to the nature of the job, needs to take detailed messages that are forwarded to the right staff member with all correct information 
  • Vitally important that all demographic data is entered into each patient’s medical record correctly
  • Flexibility
  • Bilingual (Spanish speaker) strongly preferred; compensation will be higher for someone with interpreter certification
