JOB DESCRIPTION
Position Summary
Responsible for all assigned administrative functions to assist Human Resources in the overall administration and coordination of activities, acting as a resource for employees, partners, management and providers. Additionally, this role may have limited responsibilities within Facilities and Finance, but their primary focus with be with Human Resources.
 
ESSENTIAL FUNCTIONS:
 
General
·        Act as liaison to human resources and facilities serving as a resource for employees questions regarding time off, workers compensation, payroll, injuries, open positions, facilities requests, IT requests, benefits, and employment policies.
·        Provide administrative services for human resources, facilities, and finance departments
·        Prepare agendas and make arrangements, such as coordinating catering for luncheons, for committee, board, and other meetings.
·        Provide marketing support including monitoring Facebook posts, Constant Contact database, posting of office closures and pollen counts on website.
·        Assist in coordination of vendor service orders for all locations

Human Resources
·        Recruiting support for all open positions including posting in Google Hire system and site administration.
·        Assist in on-boarding of new hires including submitting background checks, EPIC requests, and IT coordination of email, phone, and hardware needs.
·        Assist in coordination of all staff events including staff development day, partner meetings, all-provider meetings, staff parties.
·        Receive and dispatch staff unscheduled absences to appropriate leads and supervisor. Record all unscheduled absences on calendar. Update Human Resources Consultant in timely manner.
·        Assist in benefits administration for newly hired staff and during open enrollment including coordination with benefits broker team, online enrollment, maintaining benefit deductions reporting function, and approval of all benefit provider invoices prior to payment.
·        Provide new hire orientations including all new hire paperwork coordination, scanning, filing, and conducting all new hire orientation and training.
·        Provide monthly reporting for benefits enrollment, MD, RN and LVN license renewal, CPR renewal, eligibility for vouchers, and performance reviews due.
·        Assist in coordination of mandated annual training for HIPAA, harassment, CPR, BLS, and supervisor harassment training.
·        Responsible for ensuring all HR policies and procedures are up-to-date and in compliance with state and local employment laws, communicated and applied consistently across all departments.
·        Maintain compliance with all Federal and State regulations for Exempt/Non-exempt, postings and reporting requirements for all office locations.
·        Assist in 1099 and W-9 filings including coordination of vendor information on an annual basis.
·        Ensure all business associate agreements are signed in a timely manner and properly maintained.
·        Conducts recruitment effort for all exempt, nonexempt and temporary workers; writes and places advertisements; works with supervisors/managers to screen and interview candidates; conducts reference checking; extends job offers; conducts new-employee orientations.
·        Facilitate benefit orientations and other benefits training. Assist employees with any personal updates or questions related to benefits.
·        Provide the Company with accurate data and statistics as it relates to hiring, training, compensation, employment, safety and turnover.

Facilities
·        Facilitate ordering of all office supplies for all locations including (Staples, Costco, Safeway) including budgeting, inventory control and approval and reconciliation of invoices.
·        Coordinate all printing orders for business cards, stationary, envelopes, forms and other office printing needs.
·        Assist with coordination of storage and retention as needed.

Qualifications and Skills
·        3-5 years of related administrative experience reporting to multiple departments, working with competing deadlines and projects.
·        Prior experience in facilities management including coordination of vendor agreements.
·        Prior experience working with human resources administration including benefits, recruiting, employee relations, and new hire orientations.
·        Strong organizational and time management skills allowing you to manage multiple projects and deadlines.
·        Demonstrated skills in project tracking and management projects are required.
·        Strong attention to detail, editing, grammar, written communications, and proofreading.
·        Prior experience in all aspects of workers compensation including claims reporting, coordination with assigned adjuster, and claims management, and interaction with TPA and insurance companies.
·        Extremely proficient in all Microsoft Office programs including reporting capabilities, mail merge functionality, project management, template development, and Adobe Acrobat.
