  • Description:The administrative assistant is a critical and valued member of the team. The person in this role is responsible for providing administrative support for up to 1 Senior Director, 5 Group Managers, 1 Resaerch Director  and for keeping the Core Cleaning team moving efficiently in a changing and busy environment. You must foster a work environment that is positive, optimistic and collaborative. Flexibility, professionalism, integrity and the ability to multi-task and prioritize are a must.Key responsibilities include scheduling meetings, making appointments and travel arrangements and processing expense reports. Collaborate with other administrative assistants and employees on scheduling, calendaring, special projects, etc. Intaking new hires, providing employees with office supplies prepare and sort mail, perform word-processing assignments, proofread, and research and compile special reports. Operate automated office equipment and utilize software. Act as an information source on organization policies and procedures, as well as technology upgrades from IT. Assist in establishing office policies and procedures, and coordinate special projects and department activities. Key Responsibilities: 
    • Administrative support to 1 Senior Director, 5 Group Managers and a Resarch Director
    • Business support as needed for R&D Cleaning
    • Support department (~40) on an as needed basis - such as: office supply orders, shipping, sorting mail
    • Coordinate special events and meetings
    • Assist management in intakes and exits of employees and contractors
    • Help in building agendas and leading Department meetings, Fireside Meetings and Safety meetings.
  • Requirements:Years and Type of Experience:


    • 5+ years prior experience administrative work in a team environment
  • Skills and Abilities
    • High level of proficiency in Microsoft Office, Outlook, Box and SharePoint
    • Excellent oral and written communication skills
    • Collaborative team player. High level of initiative, motivation and enthusiasm. Highly flexible with evolving needs and priorities. Creates a positive environment. Highly collaborate.
    • Results and detail orientation; follow through on projects and commitments with speed and efficiency.
    • Requires little supervision. Ability to handle complex assignments using considerable judgment and initiative.
