Document Administrator 1

Duration: 12 months-potential to convert into full time

This position is responsible and accountable for providing clerical support to the Rail Automation business organization. This position will support the Lead of Reproduction Services. 

The candidate must be able to develop and maintain positive working relationships with peers, staff, and customers; and communicate effectively, orally and in writing; exercising sound judgement and discretion. The successful candidate must work well under pressure and perform efficiently on short turnaround assignments. The successful candidate will be required to determine priorities and ensure commitments are completed in a timely manner. 
Specific job duties include: 
Proficiently use Microsoft Office applications including MS software such as Outlook, Word, Excel. SAP knowledge is a plus. 
Establish and maintain department and/or project files 
Operate various office machines used in department such as personal computer, copiers, scanners, etc. 
Monitor Document Center online request tool 
Prepare print orders/folders 
Review requests accuracy 
Scan folders into the site repository 
Close out tickets in remedy and access 
Stage incoming/outgoing jobs for courier 
Answer phones and assist customers 
Follow up with customers and vendors 
Provide other miscellaneous clerical support to the business as required 
Understands and comply with the exceptions in the job-specific performance goals 

Minimum requirements include: 
High school diploma 
1-3 years' experience supporting department leads and/or managers with clerical tasks and direction 
Customer services experience 
Excellent computer skills and knowledge of general office technologies 
Excellent English/grammar/punctuation, and well-organized 

Preferred skills include: 
Knowledge in Microsoft office suite 2010-2013, including Outlook, Word, Excel
