HR Employment Clerk

Title: HR Employment ClerkReq #: 572195Location: Oakland, CA Duration: 3 Months with a possible extensionPay Rate: $30-33/hrShift Hours: M-F, 8:00 AM to 4:30 PM Strong spreadsheets/ experience (MUST HAVE) JOB DESCRIPTION: Under the direct supervision of the Manager of Recruitment, the HR Employment Clerk performs an extensive variety of clerical and support duties for the Employment Division and the Human Resources Department. ESSENTIAL RESPONSIBILITIES: ·         Complies with established hospital and Human Resources Department customer service standards. Maintains the confidentiality of all employee information.·         Serves as primary contact point for department and provides excellent customer service when answering main HR phone line and greeting visitors.  Responds to routine inquiries and provides information of a general nature relating to Human Resources.  Retrieves messages from the Human Resources general voicemail and responds as appropriate (either by returning call or passing message to appropriate HR team member).·         Creates the on-boarding file with all applicable documents and conducting primary source verification in a timely manner.·         Provide clerical support for the New Employee Orientation program.·         Filing I-9 forms accurately and timely in compliance with the Immigration and Reform Act guidelines, including purging of terminated I-9s.·         Maintains the Human Resources file room and the personnel files within.  Creates new employee files, updates files as needed, archives terminated employee files, annually sends terminated employee files to off-site storage, and as necessary pulls files from storage for all team members.  Ensures general cleanliness and organization of file room.  Conducts occasional audits to ensure all files are present. Assists with maintaining compliance to the standards set by the Joint Commission and other regulatory agencies by ensuring all employee documents are filed accurately and in a timely manner. ·         Provides administrative support to the Manager, Recruitment, Sr. HR Generalist, Recruitment and other HR Managers as required.·         Sources, screens and is responsible for responding to applications received in the Applicant Tracking System for Facilities, entry level and other positions as needed. ADDITIONAL RESPONSIBILITIES: ·         Creates and audits Employment Division packets.·         Processes Employment Division mailings and surveys.·         Administers employment related tests to applicants.  Ensures test is placed in new hire file upon selection.·         Distributes mail within Human Resources.·         Picks up department paychecks from cashier and distributes to department team members.·         Replenishes hard copy forms available to employees in the hospital·         Other duties as assigned. COMMUNICATIONS REQUIRED: ·         Excellent written and verbal communication skills. ·         Excellent customer focused service skills.·         Ability to work well with staff, co-workers, peers and managers.·         Ability to responds positively to instructions, procedures and feedback.·         Proactively communicate to manager any issues or obstacles that may interfere with meeting deliverables; respond quickly to customer needs and concerns. PROBLEM-SOLVING REQUIRED: ·         Ability to comprehend when to obtain assistance in difficult situations.             KNOWLEDGE, SKILLS, AND ABILITIES: ·         Ability to work with a high degree of accuracy and at a fast pace.·         Ability to adapt quickly to changes in systems, processes, or policies. ·         Ability to multi-task and prioritize workload.·         Ability to follow set procedures and ensures a high level of accuracy in documentation and data.·         Ability to maintain a high level of confidentiality and professionalism.·         Ability to represent the Human Resources department in a positive, professional manner. TECHNICAL KNOWLEDGE:               ·         Strong knowledge of Microsoft Office (Word, Excel, PowerPoint). ·         Knowledge of mail merge process strongly preferred.·         Prior experience with HRIS preferred. Minimum Education: High school, GED or equivalent required. Education Notes: Associates Degree preferred. MINIMUM EXPERIENCE: ·         Two years clerical experience or equivalent required.  Prior experience in Human Resources performing in a similar role highly preferred. PHYSICAL REQUIREMENTS: Sit: Up to 8 hours/dayStand/Walk: Up to 6 hoursBend/Stoop: Up to 6 hoursReach: Up to 6 hoursRep Use of UE/Grasp: Up to 8 hrsLift/Push/Pull: 25 lbs, over 25# with assistance or equipment This job requires the ability to hear alarms clients and/or instruction.
