Location: Cambridge, MA
Provides high level of administrative support to senior executive staff. Under general supervision and acting on own initiative, performs diverse and advanced secretarial and administrative duties for senior executives. Assembles and analyzes information, prepares reports, manuals, agendas, presentations, correspondence and memoranda. Answers mail and inquiries on own initiative. Follows up with other departments to ensure that requests are carried out. Arranges appointments and travel reservations/arrangements. Answers telephone calls, tactfully handles inquiries and/or transfers calls to appropriate party. Checks and processes expense reports. Interfaces with other administrative support staff to share or coordinate workload. Assisting with office management responsibilities and managing invoicing.
High school or equivalent diploma and advanced administrative training with a minimum of five (5) years prior related experience. Working knowledge of commonly used PC applications such as word processing, spreadsheet, presentations and databases - Microsoft preferred. Thorough knowledge of the business and/or organization and Company products, policies and programs. Strong communication and organizational skills. Exceptionally strong organizational and time management skills. Excellent follow-through and ability to execute reminders without being intrusive. Consistently displays outstanding judgment, professionalism, diplomacy and discretion. Flexibility to adjust to constantly changing demands and priorities. Team player. Savvy at communicating effectively with company executives, employees, vendors and customers at all levels.
