• 2 years’ experience in secretarial/clerical support position (REQUIRED)
• High School Diploma, GED, or equivalent (REQUIRED)
• Proficient skill level with Word, Excel (REQUIRED)
• Type 45 WPM (REQUIRED)
• Strong phone etiquette (REQUIRED)
• Meditech experience (Highly Desired)
• Epic experience (Highly Desired)
• Prior experience in hospital environment (Highly Desired)
• Spanish speaking (Highly Desired)

COMPLETE DESCRIPTION:

• Provides comprehensive secretarial support for a department. Serves a first point of contact with leadership and the public which may include patients, their families, medical staff, external agencies and regulators.
• Duties and Responsibilities:
• Greets public, answers phone, provides general information, answers questions, and directs individuals to appropriate party as related to purpose of call or visit
• Performs general secretarial and clerical duties, including composing and typing correspondences, reports, and memoranda's, etc.
• May assist other department members in preparing key communications to audiences including hospital administration, patients/patient families and/or medical staff.
• Schedules, confirms meetings, locations, and attendees
• Makes travel arrangements, prepares necessary documents, and maintains travel worksheet Processes monthly invoices, reconciles departmental/travel expenses and maintains expense database
• Promptly submits invoices/receipts/expenses to Accounts Payable in a timely manner Enters data into department databases and prepares reports as required by department May provide timekeeping for department
• Orders and maintains adequate inventory of office equipment and supplies
• Distributes departmental mail
• May provide relief coverage to other department administrative positions, as needed
• Files documents and maintains files with precision, accuracy and confidentiality for continuous readiness for JCAHO
• Special projects and other duties as assigned
