Recruiting Coordinator to Support Full Cycle Team

Location: Chicago, IL
Duration: 6-7 Months
Assignment is for six months or more. 
Possible conversion to full time.
 
Description/Comment: 
The Recruiting Coordinator will own creating an exceptional experience for our candidates by supporting the coordination and execution of the talent acquisition process across segments in its initial phases. More specifically, recruiting coordinators will support interview scheduling, interview logistics, documentation processing, and reporting. Recruiting coordinators will have the opportunity to drive sourcing and screening activities in order to create a sustainable talent pipeline. As one of the first points of contact with prospective candidates, this role is key to conveying as a top employer and enhancing the employer reputation. 
 
Key Responsibilities 
• Serve as a first point of contact to all prospective candidates throughout the requisition process and provide relevant information 
• Screen candidate credentials and discuss prospective positions with candidates 
• Consolidate key candidate insights after phone screens for the interview process 
• Drive interview scheduling (both candidate and interviewer) and manage calendars 
• Format candidate documentation and applications 
• Make outbound calls to conduct talent market and best practice research 
• Support on-site interview logistics 
• Own follow up to candidate interview questions and support candidate communications over the course of the recruiting process 
• Responsible to set up and generate key Talent Acquisition reports and extracting key insights in a timely manner when required 
• Work with agency partners and provide recruitment process and logistic information support 
• Serve as a ambassador throughout the recruitment process 
• Liaise with Line Managers throughout the screening and selection process 
• Identify areas for improvement and communicate suggestions to management 
Context & Scope 
 
Operational Execution: 
• Work closely with recruitment team to enhance the candidate experience through the recruitment process 
• Coordinate candidate initial screen, video/ phone screen and schedule interviews for the talent acquisition team, including panel member schedules 
• Provide all necessary information to candidates in advance of the interview (travel information, interview schedule, additional application requirements, etc.) 
• Manage and file candidate paperwork, including offer letters, new hire documents, and background checks 
• Build a strong employer reputation throughout the recruitment process 
• Coach hiring managers on the recruitment philosophy, policy, and process 
• Provide timely and accurate candidate status information to all hiring managers and ensure they are well-informed at each step of the recruiting process 
• Monitor the accuracy of candidate documentation in the applicant tracking system 
• Identify opportunities to improve scheduling and logistics efficiency 
• Support all logistics as needed for recruiting events – to include but not limited to campus, job fairs, promotional events with high degree of detail and accuracy 
 
Job Specifications / Qualifications 
Education & Professional Qualification 
• Minimum qualification: Advanced diploma; preferably in HR, Business Management 
• Preferred qualification: University degree or equivalent; Combination of education and experience preferred 
 
Knowledge/Experience 
• One or more years of administrative experience or equivalent 
• Experience working in a highly collaborative team environment 
• Ability to maintain positive attitude and composure in a high pressure and tight deadlines in a fast paced environment
