Job Description: Provide administrative support to a department and/or Manager. Duties include general administrative, receptionist and project based work. Project a professional company image through in-person and through phone interaction. Maintain a neat and orderly office environment. Perform general administrative duties to include but not limited to: answering telephone and transfer to appropriate person. Meet and greet customer and visitors. Intermediate Microsoft Office skills to create and modify documents and spreadsheets. Maintain hard copy and electronic filing system through photocopying, faxing, mailing, scanning and emailing. Experience in creating and maintaining annual budget. Create accurate and timely reports as required, meeting necessary deadlines. Vendor and PO management. Coordinate maintenance and repairs as needed of office and equipment. Restock kitchen and office supplies, conference rooms, mail and shipping (need to be able to lift the occasional ~50 lb. package). Manage service requests and collect retired assets for recycling. Sign for and distribute UPS/Fed Ex/Airborne packages. Research, price, and purchase office supplies. Coordinate and maintain records for staff office space, phones, parking, and office keys. Assist in reserving meeting rooms and other resources as needed. Maintain detailed records of daily occurrences and follow up on issues. Participate in Emergency Response. Collect and maintain PC inventory. Liaison with health and safety, security, and IT to provide a safe and secure working environment. Support manager and team in assigned project based work. Other duties as assigned. 1-3 years of office and facilities experience a plus.
