We are seeking a full time receptionist to assist in our day to day operations! Bring a friendly, smiling face and a helping hand to the front desk! 
As the Receptionist for IGT-Devices, you will have excellent communication and multitasking skills, a positive attitude and a strong work ethic in a highly professional environment! 
You are responsible for 
o Greet everyone with a smile and helpful attitude! 
o Answer phones in a timely manner and direct calls to the correct person 
o Direct onsite employees and external customer inquiries 
o Deal with queries from the public and re-direct where appropriate (sales, employment inquiries) 
o Create new employee badges, activating with both internal and external IT departments to gain access site-wide 
o Ensure proper on-boarding paperwork is completed and inform new hires of processes, policies and building layout 
o Maintain security by following procedures; monitoring guest check in, badge logbook as well as issuing visitor badges, monitor visitor access and maintain security awareness at all times, working with both internal and external IT departments for badge configuration and/or problems 
o Ensure candidates receive the full Philips candidate experience during their onsite interviews 
o Point of Contact for all candidate interviews working with Talent Consultants and Coordinators to secure calendar availability, conference room space, receive candidate and notify company personnel of arrival , direct and/or walk person to correct destination or conference room for interview 
o receive and sort mail and deliveries, working closely with shipping and receiving for incoming lab equipment, pallets and supplies 
o Liaison for building janitorial issues and work with building management to resolve quickly (i.e., flooding etc.) 
o Stock kitchens on 3 floors with cutlery, cups and paper towels 
o Ensure Executive Boardroom is clean, drinks/water jugs stocked, monitors cleaned and ready for meetings, clean up after meetings and close projectors on a daily basis 
o Point of contact for emergencies, member of EMT (Emergency Management Team), attend and coordinate monthly meetings 
o Maintain continuity among site employees by communicating actions, irregularities, and continuing needs via mass email etc. (i.e. Building closures, parking structure issues, towed cars) 
o Ensure knowledge of staff movements in and out of organization 
o Order catering, set up and cleanup for Lunch & Learns, team meetings etc. 
o Maintain proper expense reporting to cost center for meetings 
o Receive and direct all catering to admins or employees upon arrival, setting up tables with table clothes and drinks 
o Manage, oversee and maintain entire facility stationary supplies, ink, catering supplies and special order office equipment, keep supply room well stocked and organized at all times 
o Manage on site vendor relationships and inventory for coffee, expresso services, snacks as well as maintaining their equipment when needed (broken, clogged, in-operable) and review of contracts with legal and finance departments 
o Work with facilities on ensuring site is well maintained (carpet stains, paint touch ups, clean glass) 
o Maintain safe, clean and tidy reception area on a daily basis 
o Assist in the coordination and logistics of employee events 
o Support onsite HR Business Partner on an as needed basis 
o Other duties as required

To succeed in this role, you should have the following skills and experience 
o Minimum of an AA degree or equivalent experience 
o Ability to work independently with little supervision 
o Ability to show initiative 
o Excellent verbal and written communication skills 
o Professional personal presentation 
o Customer service orientation 
o Understanding of Information management – proficient with Microsoft Office including Outlook, Word, Excel and PowerPoint
