Administrative Specialist

Acacia Counseling & Wellness is the leading provider of off-campus student mental health among universities. Our mission is to provide college students a safe, supportive space in which they receive consistent, quality mental health care that is highly accessible, affordable, and culturally sensitive. We are seeking a motivated individual who is friendly, engaging, and detail-oriented and dependable to be an Administrative Specialist for our Davis location.

The Job:
As the Administrative Specialist, you'll be responsible for various administrative, clerical, and outreach tasks. This includes providing support to the Site Director, Office Manager, and Therapists, assisting in daily office needs and managing our company’s general administrative activities. In the outreach role, you will actively engage in the creation and marketing of new events and content promoting mental health awareness, as well as establish and maintain effective relationships with representatives of the community and local organizations.

We are looking for people who can commit to a 15-20 hour weekly schedule (to be discussed further in the interview). We preferably are looking for availability on Thursday, Friday, and Saturdays.

  • Represent the office in a friendly and professional manner
  • Maintain consistent, direct communication with clients
  • Adhere to HIPAA policies and understand insurance guidelines
  • Light physical work to maintain the office
  • Client/Therapist scheduling and Co-Pay collection
  • Student advocacy
  • Meetings with supervisor for updates
  • Marketing assistance and organization
  • Closing the office at the end of the day

The Team:
Our administrative team works closely with the Office Manager and Director to ensure our office projects and goals are progressing smoothly. You'll get to engage regularly with our awesome clinical staff, and other members of the marketing & outreach team.

YOU:
Our Front Desk staff will need to be energetic and independent. An individual who is comfortable with autonomy, well-organized, and have strong social skills is ideal. We are looking for someone who can commit to the 2019/2020 school year (and beyond if possible). Training will be provided to ensure a full understanding of this position, but our ideal person has:
  • A friendly disposition with customer service skills;
  • Technological proficiency;
  • Excellent time management skills and high attention to detail;
  • Excellent written and verbal communication skills;
  • Strong organizational and teamwork mentality.
  • Prior experience in an administrative or organizational support role a plus!
  • Prior experience in fundraising/marketing efforts also a plus!
