Administrative Coordinators in Philadelphia, PA

24-Hour Medical Staffing Services, LLC is hiring experienced Administrative Coordinator to join our growing team of healthcare professionals.

JOB OVERVIEW:

Essential Duties and Responsibilities:

 Provide administrative support to local operational teams and human resources function
 Ensures administrative offices are maintained in an organized and clean manner
 Field incoming telephone calls; assist customers on the phone or direct calls accordingly
 Schedule and coordinate events (example: Holiday Luncheon, Family Day events, etc.)
 Greet incoming visitors adhering to the appropriate security processes
 Coordinating operational functions for the office (Federal Express, Copy Repair, Pitney Bowes, iron mountain, etc.)
 Prepare and distributed reports on a re-occurring and ad-hoc basis
 Meeting preparation to include scheduling, preparation of presentation materials, teleconference lines, catering service etc.
 Attend department meetings, generate meeting minutes and distribute final, approved meeting minutes
 Coordination of employee travel arrangements (airline and hotel reservations, and ground transportation)
 Compose correspondence (newsletters, letters, memos, e-mails, etc.)
 Maintain filing system
 Order and maintain supply inventories
 Direct/assist facility management projects as assigned
 Handle confidential information ensuring information is not distributed or communicated outside of approved individuals/systems
 Support recruitment efforts
 Conduct new employee in processing in markets without HR on site, including orientations, coordinating finger printing and other necessary support
 On site human resources liaison
 Others duties as assigned to support the needs of the administrative office

Competencies:
 Excellent customer service, organization, and follow-through skills
 Excellent verbal and written communication skills
 Ability to excel at details, multi-task, and work with a high sense of urgency
 Exceptional interpersonal skills and the desire to work in a fast-paced environment
 Must be self-motivated
 Working knowledge of Microsoft Outlook applications (Outlook, Word, Excel, and PowerPoint)
 Knowledge of office equipment (FAX, copier, printer, etc.

Education and/or Experience: (includes certificate & licenses)
 High School diploma, or equivalent (GED) experience/combined education
 0 to 1 years of administrative assistant experience
 Must be able to successfully pass National Agency Check with Inquiries (NACI) background investigation
